Terms and Conditions

General

1.1     Please read these terms and conditions carefully before purchasing a ticket or participating in the Event. By purchasing a ticket, registering for the Event, submitting material for Pitch! or the RTG Global Awards, or otherwise participating in the Event, you (‘you’ or ‘your’) agree to be bound by these Terms. These Terms apply to you and to any subsequent ticket holders of tickets you purchase. You must ensure that all ticket holders of tickets you purchase are aware of and comply with these Terms. You are liable for the acts, omissions and defaults of each ticket holder as though they were your acts, omissions and default.

1.2     If any provision of these Terms is held invalid, unenforceable or illegal for any reason, these Terms shall otherwise remain in full force apart from such provision which shall be deemed severed.

1.3     The following terms have the meanings given below:

  • Australian Consumer Law means Schedule 2 to the Competition and Consumer Act 2010 (Cth).

  • Event means the “Regulating the Game” conference in Sydney, Australia presented by us scheduled to occur on 8 to 10 March 2027, and includes all parts of the program, including Pitch!, the RTG Global Awards and Gala Dinner, masterclasses, the opening reception, the exhibition and networking functions.

  • In-Person Registration means a full three-day in-person conference registration, including the inclusions specified for that registration at the point of sale and in your confirmation.

  • Online Pass means an individual live-stream access pass to the main conference sessions delivered via the Guidebook app and the dedicated Guidebook conference website.

  • Organisation Package means a registration package combining one or more In-Person Registrations with one or more Online Passes, including the Duo and Group package options.

  • Gala Dinner means the RTG Global Awards Gala Dinner.

  • Members Area means the Regulating the Game members area providing on-demand session content, archived conference content and the event gallery for the access period notified by us.

  • Priority Rate means the earliest registration pricing tier, available from June 2026 and closing on 31 October 2026.

  • Advance Rate means the registration pricing tier available from 1 November 2026 and closing on 31 January 2027.

  • Standard Rate means the registration pricing tier available from 1 February 2027.

  • Venue means the place or places where the Event is held.

Conditions of Ticket Sale

2.1     Tickets and discounted ticket prices (including the Priority Rate, Advance Rate and Standard Rate, and any concessionary or restricted rates) are limited and subject to availability, and registration rates change across the pricing windows on the dates notified by us.

2.2     Ticket prices for the Sydney conference are in Australian dollars (AUD) and are exclusive of GST if applicable. The price of the tickets is subject to change without notice. Service fees and other charges may apply to each purchase and you will be informed of these fees and charges prior to purchase.

2.3     Regulating the Game is the only authorised ticket seller for the Event.

2.4     Tickets purchased online via the regulatingthegame.com website will receive a system generated order confirmation and ticket via the email address provided at the online checkout.

2.5     You must enter complete, accurate and valid information, including contact details for you and each ticket holder. You must ensure that you have the consent of each ticket holder to provide their personal information to us in relation to the ticket.

2.6     Registrations made via invoice, including Organisation Packages, will be confirmed only upon full payment of the invoice. Where we issue a registration code to enable registration to be completed without online payment, you must provide complete and accurate registration details for each attendee, and registration remains subject to payment of the invoice in full.

2.7     Where we promote accommodation options, provide details of a special conference rate, or include a link to a hotel or accommodation booking portal, this is for attendee convenience only. Any accommodation booking is made directly between you and the relevant hotel, accommodation provider or booking platform, and not with us. All room availability, rates, payment terms, changes, cancellations, refunds and special requests are subject to the terms and conditions of the relevant hotel, accommodation provider or booking platform and must be managed directly with them.

2.8     Your entitlements depend on your ticket type and are limited to the inclusions specified at the point of sale and in your confirmation. In-Person Registration includes the three-day program and the further inclusions described at the point of sale. A seat at the Gala Dinner is included with each In-Person Registration but must be confirmed by RSVP and is subject to capacity. Some elements are offered separately and may involve additional fees or a separate booking process, including standalone Online Passes and dinner-only tickets, half tables or full tables for the Gala Dinner. Certain sessions may be subject to capacity limits, reservation requirements or eligibility criteria. We may refuse entry to any component of the Event where you do not hold the required registration, reservation or confirmed RSVP.

2.9     Tickets are non-transferable and non-cancellable except as provided in clause 5 and, for an interchangeable registration, clause 2.11.

2.10   Some registrations are offered at concessionary or restricted rates that are subject to eligibility criteria, including the government or regulatory body rate and the academic or researcher rate. We may require evidence of eligibility before or after registration. Where eligibility is not established to our satisfaction, we may cancel the registration, require payment of the difference up to the applicable standard rate, or refuse or revoke entry.

2.11   An interchangeable registration is issued to one nominated primary attendee and one nominated alternate and may be used by either of them, provided that only one of them attends at any given time and that the person attending holds the conference credentials while on site. Both the primary and the alternate must be identified to us and each is bound by these Terms. Simultaneous attendance by the primary and the alternate is not permitted.

Conditions of Entry

3.1     Each ticket holder must have a valid registration for each day they attend the Event and must wear the official conference credentials issued at the registration desk at all times while on site. Credentials must be visible and produced upon request to verify attendance eligibility.

3.2     You and each ticket holder consents to being photographed or recorded in the Venue during the Event and consent to our use of such photographs or recordings for our promotional, marketing and other purposes.

3.3     You acknowledge that the Event may be photographed, filmed, livestreamed and recorded, and that audience images, voice, name, likeness and incidental participation may be captured as part of the Event environment. Subject to applicable law, you consent to such capture and to our use of those materials for Event operations, on-demand access, archival, editorial and promotional purposes.

3.4     Unauthorised photography and/or recording of the Event is prohibited. We reserve the right to require deletion of any photos or recordings on any personal cameras and recording equipment.

3.5     You and each ticket holder consent to us collecting, using and disclosing your and the ticket holders personal information for the purposes of processing the order for the tickets, managing the event and marketing to you and the ticket holder and promoting the Event. Personal information submitted in connection with Pitch! or the RTG Global Awards may be used to administer those programs and may be shared with appointed judges for the purposes of administering those programs.

3.6     Where badge scanning, QR code scanning or similar lead-capture technology is used by sponsors, exhibitors or approved partners, any personal information you choose to provide or permit to be scanned at a stand, activation or meeting is disclosed directly by you to that third party. The collection, use and disclosure of that information by the relevant third party will be governed by their privacy practices and policies, not ours.

3.7     We may send you Event-related updates and, where permitted by law, information about future events, programs, offers or related services. You may opt out of marketing communications at any time using the unsubscribe facility provided or by contacting us.

3.8     Persons under the age of 18 are not permitted to attend the Event. You and each ticket holder must comply with any request to show ID or proof of age documentation to be allowed entry into the Venue.

3.9     You and each ticket holder must:

  • obey any reasonable direction of Event and Venue staff during the Event, including requests for bag checks;

  • comply with any mandatory health directives by the Federal or NSW Government; and

  • not bring any prohibited items (including alcohol purchased outside the Venue, glass bottles, offensive signs or clothing, or other safety hazards) into the Venue.

3.10   We reserve the right to refuse entry, delay entry or remove you or any ticket holder from the Venue if:

  • you or the ticket holder do not comply with these Terms;

  • you or the ticket holder engage in disorderly conduct as reasonably determined by us including:

    • being intoxicated;

    • threatening or acting offensively towards Event attendees or staff; and

    • disrupting staff functions or others’ enjoyment of the Event;

  • we are unable to authenticate your tickets;

  • you advertise or otherwise promote products or services without our prior written consent;

  • you are late; or

  • you are not appropriately dressed (as determined by us, acting reasonably).

3.11   You and each ticket holder must behave professionally and respectfully at all times. Bullying, harassment, sexual harassment, intimidation, discrimination, abusive language, deliberate disruption, unwanted physical contact, or conduct that creates a risk to health, safety, security or the reasonable enjoyment of the Event by others is prohibited. We may take any action we consider reasonably necessary in response, including removal from the Venue, cancellation of access credentials, removal from the online platform, exclusion from future events and referral to Venue security or law enforcement.

3.12   You must not make defamatory, misleading or inappropriate statements about the Event, judges, nominees, speakers or participants. We may remove any attendee who breaches this obligation.

3.13   Nothing in clause 3.10 prevents approved Pitch! participants or approved exhibitors from promoting their products or services within the designated Pitch! session or Exhibition area.

3.14   Approved exhibitors and sponsors may only conduct activations, display materials, distribute promotional items, hold demonstrations, collect attendee information, or undertake meetings in areas designated by us and in accordance with any exhibitor or sponsor guidelines, Venue requirements, safety requirements and bump in / bump out instructions notified by us. We may suspend or stop any activity that, in our reasonable opinion, is unsafe, non-compliant, obstructive, misleading, inconsistent with the Event, or likely to interfere with other exhibitors, sponsors, attendees or Venue operations.

3.15   Except as expressly permitted by us in writing, you must not canvass, solicit business, distribute marketing materials, conduct interviews, film commercial content, run competitions or promotions, or promote products or services at the Event.

3.16   Where you or a ticket holder present, speak, or supply materials as part of any session at the Event, including but not limited to talks, panel discussions, presentations, handouts, slides, audio or visual materials, you grant us a non-exclusive, royalty-free, worldwide licence to record, reproduce, distribute, publish, adapt and communicate those materials for Event-related purposes, including promotion of future events. You warrant that you have all necessary rights and permissions to provide and present such materials and that they do not infringe the intellectual property rights or other rights of any third party. You indemnify us for any loss, claim or liability arising from a breach of this warranty.

3.17   You must not copy, reproduce, republish, screen-record, stream, distribute, sell, adapt, scrape, text-and-data mine, extract or use Event content, recordings, speaker materials or on-demand content except as expressly permitted by us in writing. Without limitation, you must not use any Event content to train, fine-tune or otherwise develop any artificial intelligence or machine learning model or tool without our prior written consent and any required third-party permissions.

3.18   A seat at the Gala Dinner is included with each In-Person Registration, subject to availability and to confirming your attendance by RSVP. After booking your conference registration you will receive separate information and a link to RSVP and secure your seat or seats. Individual dinner tickets, half tables (five seats) and full tables (ten seats) for guests who are not attending the conference are offered separately and are booked through the dedicated Global Awards Gala Dinner booking process. Places at the Gala Dinner are limited and allocated subject to capacity and to the time and date an RSVP or booking is received; once capacity is reached no further attendees can be accommodated.

3.19   Masterclasses, Pitch! and certain sessions form part of the conference program, but places may be limited and subject to room capacity, reservation or sign-up requirements and cut-off dates. We may set attendance caps, substitute presenters, combine sessions, change rooms, reschedule, or cancel a session where demand requires, a presenter becomes unavailable, or operational circumstances require.

3.20   Where you or a ticket holder submit materials, concepts, data or presentations for consideration or participation in Pitch! you acknowledge and agree that:

  • participation, selection and judging decisions are solely at our discretion and are final;

  • Pitch! involves public presentation of ideas and you grant us a non-exclusive, royalty-free licence to display, present and record those materials for the purposes of conducting and promoting the Event;

  • you are solely responsible for ensuring that any material submitted does not infringe the intellectual property rights of any third party and does not contain confidential information;

  • feedback provided by Pitch! judges or commentators is general in nature and we accept no responsibility for any loss, damage or commercial consequence arising from such feedback or from participation in Pitch!; and

  • we may vary, shorten, postpone, or cancel Pitch! at any time acting reasonably.

3.21   By attending or participating in Pitch! or the RTG Global Awards, you consent to the session being recorded, livestreamed or published by us and acknowledge that no compensation is payable for such use.

3.22   Where you or a ticket holder submit a nomination for the RTG Global Awards, you acknowledge and agree that:

  • all nominations and supporting materials become part of the Event and may be reviewed by judges appointed by us;

  • judging decisions are final and made at our sole discretion and no correspondence will be entered into regarding the judging process or outcomes;

  • you grant us a non-exclusive, royalty-free licence to reproduce and publish your nomination materials, organisation name, logos and related content for the purposes of administering, promoting and announcing the Awards;

  • you warrant that you have all necessary rights and permissions to submit any nomination materials and for the licences granted under this clause; and

  • we may amend Award categories, eligibility criteria, judging processes or the Awards ceremony format at any time acting reasonably.

3.23   We may verify eligibility, request supporting information or evidence, and accept, decline, reclassify or remove a nomination. We may withhold or withdraw an award, or decline to present or continue recognising a finalist or winner, where we reasonably consider that doing so is necessary to protect the integrity, reputation or proper administration of the Awards. We are not obliged to present an award in any category, and may decline to make an award in a category where, in our opinion, no nomination meets the required standard.

3.24   Attendance at the Gala Dinner is subject to Venue capacity, a confirmed RSVP, seating arrangements, service requirements, the cocktail dress code and responsible service of alcohol requirements. We may allocate or alter seating, tables and room layout at our discretion. Dietary requests and accessibility requirements will be accommodated where reasonably practicable but cannot be guaranteed unless confirmed by us. Venue staff may refuse service of alcohol or remove a person in accordance with the NSW Liquor Act and Venue policy.

3.25   Content provided at the Event, including presentations, panel discussions, Pitch! commentary, Awards feedback and any related materials, is for general information only and does not constitute legal, financial, regulatory or other professional advice. You must not rely on any such content as a basis for any commercial, operational or compliance decision. You should obtain independent professional advice before acting on any information presented at the Event.

3.26   Media attend the Event by accreditation only. Media organisations must submit details of the journalist or journalists seeking accreditation in advance, and accreditation is granted at our discretion, may be subject to conditions, and may be withdrawn. Accredited media must comply with these Terms, including the recording, photography, conduct and content provisions, and with any media or embargo directions notified by us.

Online Program

4.1     This clause 4 applies to all live-stream and online access to the Event, including standalone Online Passes, Online Passes provided within an Organisation Package, and in-person delegates who stream sessions via the Guidebook app or website. Online Passes are issued to a single named individual.

4.2     You acknowledge that you and each ticket holder will be responsible for ensuring that you access and familiarise yourself with both the Guidebook app and the dedicated Guidebook conference website prior to the commencement of the Event, and that the technology you use to access the online program meets any required technical specifications.

4.3     In addition to our rights under clause 3.10, we reserve the right to cease your access and each ticket holders access to the Event if:

  • you or the ticket holder interferes with or attempt to interferes with the online Event platform, including by circumventing security measures, tampering with the computer system or hacking into the server;

  • you or the ticket holder transfer your username or password to others without our permission;

  • you or the ticket holder post or upload material to the Event platform which is offensive, unlawful, or illegal; or

  • you or the ticket holder knowingly post or upload material which infringes our intellectual property rights or the intellectual property rights of a third party.

4.4     Access credentials for the online program are issued on a personal, revocable, non-exclusive basis for a single registered attendee only. Shared access, simultaneous use by multiple users, reposting links, or making online content available to non-registered persons is prohibited.

4.5     You and each ticket holder are responsible for ensuring you have access to a stable, high-speed internet connection that supports live video streaming. We recommend using a wired (Ethernet) connection where possible and avoiding shared or public networks to ensure consistent access to the Event content.

4.6     While we will monitor the audio and video quality of the Event from our broadcast end and ensure high-quality streaming output, we are not responsible for issues arising from your individual internet service, equipment, or technical setup.

4.7     To optimise your experience, we recommend testing your equipment and internet speed prior to the Event. You are solely responsible for any data usage charges or other costs associated with your access to the online program.

4.8     The Event will be streamed via the Vimeo platform. Online attendees will also access sessions and related content through the Guidebook app and the dedicated Guidebook conference website. You must ensure your device and browser are compatible with Vimeo’s streaming requirements, and access and familiarise yourself with both the Guidebook app and website prior to the Event. We recommend using the latest version of Chrome, Firefox, Safari or Edge, and disabling any browser extensions that may interfere with video playback.

4.9     You acknowledge and agree that we are unable to provide technical support for individual IT issues, device configurations, or internet connection problems. It is your responsibility to ensure that your systems meet the necessary specifications and are properly configured prior to the Event.

4.10   Recommended minimum technical specifications for optimal access include:

  • A stable internet connection with at least 5 Mbps download speed (25 Mbps or higher preferred).

  • A laptop or desktop with a recent version of a supported browser.

  • An operating system no older than two major versions (e.g., Windows 10/11, macOS Monterey or newer).

  • Speakers or headphones and, if interactive features are enabled, a microphone and webcam.

4.11   We are not responsible for any loss of access to the Event or reduced functionality due to local firewall settings, security restrictions, or incompatibility with organisational IT systems. If you are accessing from a corporate network, please confirm with your IT administrator that Vimeo and the Event platform are not blocked or restricted.

4.12   The online program may experience interruptions, delays, audio or video degradation, or temporary outages due to internet congestion, platform constraints, third-party service issues or other technical factors. Such interruptions do not constitute a failure to deliver the Event.

4.13   To the extent permitted by law, no refund or partial refund is payable due to buffering, audio or video quality issues, loss of connection, inability to access the livestream, or any other technical issue arising from your equipment, network, internet service provider or local system configuration.

4.14   We may, acting reasonably, modify the format of the online program at any time, including substituting live sessions with pre-recorded content, limiting interactive features, or adjusting access times, where necessary to ensure broadcast stability or to manage technical constraints.

4.15   On-demand and archived content is made available through the Members Area for the access period notified by us (currently 12 months from the Event). Access may be subject to content availability, speaker permissions, platform limitations, editing requirements and rights clearances, and not all sessions, speakers or components of the Event will necessarily be available. Access to the Members Area is personal to the registered attendee, and clauses 3.17 and 4.4 apply to that content.

4.16   In addition to clause 6.4, we are not responsible for failures or delays in the online program caused by failures of telecommunications networks, internet service providers, Vimeo or other third-party platforms, or faults in third-party hosting, streaming or distribution services.

Refunds, Transfers and Resale

5.1     Except to the extent required by law, including the Australian Consumer Law, tickets are non-refundable except where we cancel the Event, materially change the date of the Event, or otherwise determine in our discretion that a refund, credit or transfer is appropriate.

5.2     Notwithstanding clause 5.1, in the event the Event is moved to a virtual format only, your ticket to the in person Event will be transferred to an online program ticket and you will be refunded any difference in registration fees.

5.3     We may cancel, reschedule, substitute or materially alter a particular component of the Event, including a masterclass, Pitch!, networking function, exhibition session or the RTG Global Awards and Gala Dinner, without cancelling the Event as a whole. Unless required by law, such a change does not entitle you to a refund of your full Event registration. Where a separately priced component is cancelled and not replaced, we may offer a refund, partial refund, transfer or credit in respect of that component only.

5.4     We may, in our discretion, permit a named attendee substitution requested in writing before the Event, subject to any applicable deadlines, administration requirements and pricing adjustments.

5.5     Without limiting clause 5.1, we reserve the right not to provide a refund on the basis that:

  • the ticket was purchased from an unauthorised ticket seller;

  • the ticket has been cancelled by us owing to fraud or non-compliance with these Terms;

  • change of mind or change(s) to your or the ticket holders personal circumstances;

  • late arrival or non-attendance at part or all of the Event;

  • you or the ticket holder did not enjoy the Event;

  • you or the ticket holder were refused entry or removed from the Venue due to your breach of these Terms; or

  • you or the ticket holder have otherwise failed to comply with these Terms.

5.6     Resale not permitted. You and the ticket holder must not resell or offer this ticket for resale to any person and, unless authorised by us, must not use a ticket or access to the Event or any content made available during or as part of the Event for any advertising, marketing or promotional purposes.

Changes to Event

6.1     We may make changes to the Event program, speakers, or Venue and we will use reasonable endeavours to notify you of such a change.

6.2     Speakers, chairs, judges, exhibitors, sponsors, performers and session formats are subject to change without notice. The inclusion or advertised participation of any particular person, organisation or brand is not guaranteed.

6.3     We may change the Venue, room allocation, seating format, floorplan, exhibition layout, catering arrangements, security procedures, delivery format, timing or sequence of any part of the Event where reasonably required for operational, safety, technical, commercial or regulatory reasons.

6.4     We may cancel or postpone the Event due to events reasonably outside our control, including strikes, lockouts and shutdowns, epidemics, pandemics, earthquakes, landslides, storms, floods, hurricanes, tempest, other materially adverse climatological conditions, acts of God, state or public enemy, wars, revolutions, uprisings, hostilities, civil disturbances including protests, blockades, embargoes, third party interferences with trade, riots, civil war, insurrection, invasion, explosions and fires.

Intellectual Property

7.1     All Event content, recordings, audiovisual materials, photographs, written materials and any other materials produced by us remain our intellectual property and may not be reproduced, distributed or adapted without our prior written consent.

7.2     You must not use our name, logos, trade marks, event branding or conference artwork without our prior written consent. Approved sponsors, exhibitors, finalists and award participants may only use Event branding in accordance with any branding guidelines or permissions notified by us.

Sponsorship and Exhibition

8.1     Sponsorships, exhibition packages and related commercial arrangements are subject to availability and may be governed by separate application forms, booking forms, prospectus terms, exhibitor manuals, floorplans, operational instructions or written agreements issued by us.

8.2     In the event of any inconsistency between these Terms and a separate sponsorship or exhibition agreement, the separate agreement will prevail to the extent of the inconsistency.

8.3     We may allocate, reallocate, resize or reposition exhibition space, sponsor entitlements, signage locations, activations or inclusions where reasonably required for operational, safety, Venue, program or commercial reasons.

8.4     Sponsors and exhibitors are responsible for the security, insurance, transport, installation and removal of their own property, displays and materials unless otherwise agreed in writing.

8.5     We may require any sponsor or exhibitor to remove materials, messaging, products, activities or personnel that do not comply with applicable law, Venue requirements, these Terms, event guidelines or the character and standards of the Event.

Liability and Indemnity

9.1     Subject to clause 9.2, we limit our liability to you and each ticket holder to the amount you have actually paid us in relation to the Event and we exclude all liability arising out of these Terms or otherwise in connection with the Event in contract, tort (including negligence), breach of statutory duty or otherwise for:

  • any loss of profits, loss of revenue, loss of anticipated savings, wasted expenditure, loss of goodwill or reputation, or loss of commercial opportunity (in each case, whether direct or indirect); or

  • any indirect or consequential loss.

9.2     Nothing in these Terms where it would exclude, restrict or modify any warranty, guarantee, right or remedy you may have under the Australian Consumer Law if such warranty, guarantee, right or remedy cannot lawfully be excluded, restricted or modified.

9.3     Notwithstanding anything to the contrary in these Terms, if you acquire goods (other than goods acquired for the purpose of resupply) or services from us as a consumer, they come with statutory guarantees under the Australian Consumer Law that are not excluded by any other terms of these Terms.

9.4     To the extent that we fail to comply with a statutory guarantee under the Australian Consumer Law you shall be entitled to the remedies as set out in the Australian Consumer Law. To the extent permitted under the Australian Consumer Law our liability for failure to comply with a consumer guarantee will be limited to at our discretion (as the case may be):

  • the repair or replacement of the goods or the supply of equivalent goods;

  • the payment of the cost of repairing or replacing the goods or of acquiring equivalent goods; or

  • the supplying of the services again or the payment of the cost of having the services supplied again.

9.5     Notwithstanding clause 9.1, we do not exclude any liability, loss or costs to the extent caused by our mistake, fraud, negligence or wilful misconduct of our employees, officers, contractors or agents.

9.6     To the extent permitted by law, we are not responsible for loss, theft or damage to your personal property or to the property of any ticket holder, sponsor, exhibitor, speaker or guest brought to or used at the Event, except to the extent caused by our negligence or wilful misconduct.

Governing Law and Jurisdiction

10.1   These Terms and Conditions are governed by and construed in accordance with the laws of New South Wales, Australia.
